This Privacy Policy explains how Comparatio USA, LLC ("Comparatio", "we", "us" or "our") collects, uses, discloses and protects personal information through comparatio.com (the "Website"), and the choices and rights you have. It applies only to the Website. Personal information we process on behalf of customers inside our software products is governed by the customer agreement for those products, not by this Policy.

1. Who we are

Comparatio USA, LLC is responsible for personal information collected through the Website (the "controller" under the GDPR and the "business" under US state privacy laws, where those laws apply). Comparatio is part of Libra Software Group.

2. Information we collect

We collect the following categories of personal information. Over the past 12 months we have collected each category listed here.

We do not intentionally collect sensitive personal information (such as government identifiers, financial account details, precise geolocation, health information, or information revealing racial or ethnic origin) through the Website. Please do not include it in a form message.

Server logs. When you open the Website, our hosting provider automatically records information your browser sends, such as IP address, browser type and version, operating system, language, the referring page and access times. We use this to operate and secure the Website.

3. How we use information

• Respond to enquiries, demo requests and other messages
• Answer questions through the AI chat assistant, pass qualified enquiries to our sales team, and review chat conversations to improve answer quality
• Run, maintain, secure and improve the Website, and detect and prevent abuse
• Understand how visitors use the Website (statistics), where you have allowed it
• Send marketing and product communications to business contacts, which you can opt out of at any time
• Comply with legal obligations, enforce our terms, and establish or defend legal claims

For visitors in the EEA and UK, our legal bases are: your consent (non-essential cookies and similar technologies, and marketing where consent is required); our legitimate interests in responding to business enquiries, operating and securing the Website, and business-to-business marketing; steps taken at your request before entering into a contract; and compliance with legal obligations. You can ask us which basis applies to a specific use.

4. Cookies, analytics and similar technologies

We use cookies, pixels, tags and similar technologies. Necessary cookies run the Website and remember your consent choice. All other categories (statistics and marketing) are controlled through our cookie banner. Depending on where you are, they either wait for your consent or run until you opt out. You can change your choice at any time through the "Your Privacy Choices" link in the Website footer. We name our AI chat assistant providers in section 16. The individual cookies and technologies each provider sets are listed, and kept current automatically, in our Cookie Policy.

No session recording. We do not use session replay or keystroke recording tools on the Website.

Do Not Track. Browsers do not implement the older Do Not Track signal consistently, so the Website does not respond to it. We do honor Global Privacy Control, described in Your Privacy Choices.

5. How we disclose information

We disclose personal information to:

• Service providers that process it on our behalf under contract, such as the providers in section 4, our email and CRM providers, and our hosting provider. They may use it only to provide services to us.
• Our affiliates within Libra Software Group and its parent companies, for the purposes in this Policy, including shared sales, support and administration.
• Authorities and others where required by law, for example to comply with a subpoena or court order, or where we believe in good faith that disclosure is needed to protect rights, safety, or to investigate fraud.
• A buyer or successor in a merger, acquisition, financing or sale of all or part of our business, subject to this Policy.

We do not disclose personal information to third parties for their own marketing purposes.

6. We do not sell or share personal information

We do not sell personal information, share it for cross-context behavioral advertising, or use it for targeted advertising, and have not done so in the past 12 months.

7. Your Privacy Choices

• Cookie banner. Use the banner, or the "Your Privacy Choices" link in the footer of every page, to accept or reject statistics and marketing cookies. You can change your choice at any time.
• Global Privacy Control (GPC). If your browser sends a GPC signal, we treat it as a request to opt out of non-essential tracking for that browser, and we show a confirmation that the signal was honored.
• Marketing emails. Use the unsubscribe link in any marketing email, or email privacy@comparatio.com.
• Browser controls. You can also block or delete cookies in your browser settings, although some parts of the Website may then not work.

8. Your Privacy Rights

Depending on where you live, you may have some or all of the following rights. We will not discriminate against you, or deny you service, for exercising them.

• Access / right to know: confirm whether we process your personal information and get a copy, including the categories collected, their sources, our purposes, and the categories of recipients.
• Correction: correct inaccurate personal information.
• Deletion: delete personal information we hold about you, subject to legal exceptions.
• Portability: receive your information in a portable format.
• Opt out: of the sale or sharing of personal information, targeted advertising, and profiling that produces legal or similarly significant effects.
• Limit use of sensitive personal information: we do not collect sensitive personal information through the Website, so we do not use it for any purpose that would trigger this right.
• Withdraw consent where we rely on consent, without affecting earlier processing.
• Appeal a decision we make about your request (see section 9).

US state residents

Residents of California and of other states with comprehensive privacy laws (including Colorado, Connecticut, Delaware, Indiana, Iowa, Kentucky, Maryland, Minnesota, Montana, Nebraska, New Hampshire, New Jersey, Oregon, Rhode Island, Tennessee, Texas, Utah and Virginia) have the rights above, as provided by the law of their state. California residents may also request information collected before the 12-month period preceding their request, back to January 1, 2022.

Notice at collection. The categories collected, their sources and purposes, and our disclosures are in sections 2 to 6. Retention is in section 10.

EEA and UK residents

If you are in the European Economic Area or the United Kingdom, you have the rights above under the GDPR and UK GDPR, plus the right to object to processing based on our legitimate interests (and at any time to direct marketing), and to restrict processing in certain circumstances. You may complain to the data protection authority where you live or work, although we would welcome the chance to address your concern first.

9. How to exercise your rights

Verification. To protect your information, we will verify your identity before acting on a request, usually by confirming details we already hold, such as the email address you used with us.

Authorized agents. Where your law allows, an authorized agent may make a request for you. We may ask for signed written permission, or proof of a power of attorney, and may ask you to verify your identity directly.

Response time. We will acknowledge your request and respond within 45 days for US state law requests (extendable where the law permits, with notice), within one month for GDPR requests.

Appeals. If we decline your request, you may appeal by replying to our decision with the subject line "Privacy Request Appeal", or by emailing privacy@comparatio.com. We will respond to your appeal within 60 days with a written explanation. If your appeal is denied, you may contact the attorney general of your state.

10. Data retention

We keep personal information only as long as needed for the purposes in this Policy, including legal, accounting and reporting requirements, and then delete or de-identify it.

11. Information security and data breaches

We maintain reasonable administrative, technical and physical safeguards to protect personal information against unauthorized access, use, modification and disclosure. No transmission over the internet is completely secure, so we cannot guarantee absolute security. If we become aware of a breach affecting your personal information, we will notify you and the relevant authorities where the law requires, and take reasonable steps to contain it.

12. Children's privacy

The Website is intended for business users and is not directed to children. We do not knowingly collect personal information from anyone under 16. If you believe a child has given us personal information, contact privacy@comparatio.com and we will delete it.

13. International transfers

We and our service providers may process personal information in countries other than yours, including the United States, and Canada, where our parent group is based. Where the GDPR or UK GDPR applies, we rely on appropriate safeguards, such as the European Commission's Standard Contractual Clauses, or the EU-US Data Privacy Framework and its UK extension where the recipient is certified. You can ask us for details.

14. Email marketing

If you give us your business contact details, we may send you information about our products, events and services. Every marketing email identifies us, includes our postal address, and has an unsubscribe link, as required by the CAN-SPAM Act. You can also opt out by emailing privacy@comparatio.com. We may still send you non-marketing messages, such as replies to your enquiries.

15. Links to other resources and social media features

The Website links to other websites and may include social media features, such as share buttons and embedded videos, that are operated by third parties. Those parties may collect information such as your IP address and the page you are visiting, and may set cookies subject to your consent choices. Their privacy practices are governed by their own policies, and we are not responsible for them.

16. Automated decision-making and artificial intelligence

AI chat assistant. The chat assistant on the Website is an automated AI system, not a person. When you use it:

• Your messages are sent to our AI model provider (OpenAI) to generate replies, and our assistant searches our own product documentation to answer.
• The conversation is recorded and stored by us and our service providers (listed in section 4) so we can respond, follow up, and improve the assistant.
• If you share contact details or ask to talk to our team, the conversation is used to create or update a record in our CRM and to notify our sales team.
• Conversations are reviewed, including by an AI model (Anthropic Claude), to check answer accuracy and catch enquiries we missed.
• Our AI providers process chat content on our behalf and are not permitted to use it to train their own models under our agreements with them.
• Please do not share sensitive personal information in the chat. Using the chat is optional; you can always contact us by email or form instead.

Automated decisions. We do not use personal information collected through the Website to make decisions by automated means that produce legal or similarly significant effects on you, or that could reasonably be expected to significantly affect your rights or interests. The chat assistant may assess whether an enquiry is a sales lead so it can route it to our team; this does not decide anything about you, and a person handles every follow-up. Our software products may include AI features. Their data handling is governed by the relevant customer agreement, not this Policy.

17. Changes to this Policy

We may update this Policy from time to time. We will change the "Last Updated" date at the top of this page and, for material changes, give additional notice on the Website or by email. We review this Policy at least once every 12 months. Previous versions are available on request from privacy@comparatio.com.
